Zone and region rules, cutoff days and times, and full-year schedule generation, all resolved inside Zoho CRM the moment an order is created.
Executive summary
Keystone Transport's pickup and delivery scheduling depended on working out the correct week for every order by hand, checking zone-specific rules, cutoff days and times, and regional routing each time, with no system to check the work.
We built an Order Scheduling Automation system inside Zoho CRM under ER-477, later extended by ER-574, that runs the entire pickup and delivery scheduling process automatically. It configures zones and regions as a many-to-many relationship, generates every weekly scheduler record for a year in one click, assigns pickup and delivery weeks on order creation, and clones itself into the following year every December.

Getting a week right meant knowing which zone a customer's region belonged to, whether the order fell before or after that zone's cutoff, and then manually finding the next valid week.
There was no system in place to check the work, which made scheduling slow and left real room for error.
It also meant rebuilding the full year's schedule from scratch every year, with no automated way to carry existing rules forward.
A Scheduling Engine Inside CRM
We built the scheduling rules into CRM as configuration, so the system resolves the correct week itself and renews its own schedule each year.

Zone and Region Configuration
We link zones, each with its own colour and service types, to regions through a many-to-many relationship, so a single region can sit under multiple zones and vice versa.

One-Click Schedule Generation
A Scheduling Engine record defines the rules for a zone, service type, and year: cutoff day, cutoff time, start date, and frequency. Clicking Generate Schedule creates every weekly Order Scheduler record for the year in one step.

Automatic Week Assignment
Ticking Auto Scheduled on a new order resolves the customer's region to its zone, checks the applicable cutoff day and time, assigns the correct pickup week, then finds the first valid delivery week at least one week later.

Scheduling Calendar WebTab
A colour-coded, full-year calendar embedded directly in CRM, filterable by year, zone, service type, and schedule type, lets the operations team verify active weeks at a glance.

Built to Renew Itself
Annual Scheduling Automation, added in ER-574, runs every December 1st, cloning the current year's engines into the next year and regenerating all weekly records, so the system is ready for the new year without anyone touching it.

Extended Coverage
Also in ER-574, scheduling engines now cover multiple service types at once, reducing duplicate configuration, and the improved zones-to-regions relationship allows more flexible geographic mapping.
