Automating SoftPro Order Management and HubSpot CRM Synchronization
A custom C# service connecting the SoftPro SDK to the HubSpot API, reflecting title and escrow Orders as Deals with their contacts, companies, ownership, and stages, polling every five minutes.
Executive summary
Clear Box Strategies required a reliable way to connect SoftPro, its title and escrow order management platform, with HubSpot CRM so that operational order data could remain aligned with sales and relationship records.
The solution was developed in C# using the SoftPro SDK and HubSpot API. SoftPro Orders are matched to HubSpot Deals using the SoftPro Order Number, allowing the system to create new Deals or update existing records as order information changes. It also synchronizes associated parties including Listing Agents, Selling Agents, Lenders, Listing Brokerages, Selling Brokerages, and Lender Companies.
Rather than operating as a one-time migration, the application was deployed as a Windows service using NSSM and configured to poll SoftPro every five minutes. Retry queues, API downtime detection, and health logging support ongoing synchronization and operational monitoring.
HubSpot Solutions PartnerCertified partner implementation by ErphubTwo Systems, One Order Record
Disconnected order and CRM data. SoftPro contained operational title and escrow Order information while HubSpot managed Deals and customer relationships.
Ongoing record changes. Orders could continue to change after initial creation, requiring HubSpot records to remain synchronized rather than being imported only once.
Complex party relationships. Each Order could include multiple Listing Agents, Selling Agents, lenders, and associated companies that needed to be reflected correctly in HubSpot.
Ownership and status alignment. Contact and Deal ownership needed to follow specific agent-based rules, and SoftPro Order Statuses and HubSpot Deal Stages used different structures.
Dates and reliability. Settlement values required normalization to prevent timezone-related date shifts, and temporary API or network failures could not be allowed to permanently prevent Orders from synchronizing.
A Synchronization Engine, Not an Import
The evaluation highlighted the need for a custom synchronization engine rather than a simple import or one-time migration. Erphub implemented it across six phases.
- 01
SoftPro Environment and Data Access
The integration was established within the client's Windows environment using the SoftPro SDK and configured SoftPro profile, with read access to the Order Store for Orders and their related contact, company, transaction, and settlement information.
- 02
HubSpot API Integration
A HubSpot Private App connection allows the integration to search, create, and update Deals, Contacts, and Companies, and to create the required associations between synchronized records.
- 03
Order and Deal Synchronization
Orders are matched to Deals using the SoftPro Order Number. New Orders generate new Deals, while existing Deals are updated when the corresponding Order changes, using SoftPro modification information to support ongoing synchronization.
- 04
Contact, Company, and Association Sync
Listing Agents, Selling Agents, Lenders, Listing Brokerages, Selling Brokerages, and Lender Companies are synchronized, with labeled associations created between these records and the Deal, including support for multiple agents in the same role.
- 05
Ownership, Pipeline, and Settlement Logic
Client-provided HubSpot Owner mapping files drive ownership, prioritizing the Listing Agent with the Selling Agent as fallback and company ownership intentionally disabled. Order statuses map to Deal stages, and settlement dates are normalized into the required business timezone.
- 06
Background Service and Reliability Framework
NSSM runs the application as an unattended Windows service that starts with Windows, polls SoftPro on a five-minute cycle, and restarts after failures. Failed transactions go to a persistent retry queue, with health logging and API downtime detection for visibility.
The Five-Minute Cycle
Every five minutes the service asks SoftPro what changed, transforms it, and writes it into HubSpot. Anything that fails is queued and retried rather than lost.
Continuous, Not One-Time
Orders are monitored regularly and reflected in HubSpot as they change, rather than being imported once.
Failures Recover Themselves
Automatic retries, a persistent failed-sync queue, and API downtime tracking keep temporary outages from becoming missing records.
Runs Unattended
Deployment as a Windows background service means the integration starts with the server and restarts after interruptions.
The Result
Clear Box Strategies now has a purpose-built integration layer that keeps SoftPro operational data and HubSpot CRM records synchronized while supporting the relationships, ownership rules, pipeline stages, and reliability requirements of the underlying business process.
